Lodging and Crashpad General / Legality

1. Do I have to stay on base during my TDY?

No – you do not have to stay on base during your TDY.

2. Do I need a Non-Availability (Non-A) Letter to stay off base?

No – You do not require Non-A to stay off base. If you have one, however, your maximum reimbursable per diem rate may increase.

3. What if billeting has a room available and/or already made a reservation for me?

Per the Joint Federal Travel Regulations (JTR), even if billeting has room available and reserved on base, you are still authorized to stay off base if you so desire. In this case your Lodging Per Diem is limited to the Base Lodging rate.

If you decide to stay with us, the Base Lodging office appreciates if you cancel your reservation early (preferably two weeks prior to your class start date).

4. What are the alternatives to base lodging?

Alternatives to base lodging include off-base hotels, apartments, crashpads, and standard furnished homes or unfurnished homes (if you can find a short-term lease). It is easy to see why staying at a crashpad is the best choice. TDY Place offers Crashpads for individuals renting single rooms and whole furnished houses with short leases for service members travelling with families.

5. What are the advantages of staying in a crashpad? How does TDY Place differ from Temporary Base Lodging, a hotel, or city apartment?

We offer better comfort, amenities and more space. You may enjoy staying at a hotel, but after about a week it gets old and you start to miss the things at home. TDY Place aspires to be your home away from home. TDY Place amenities include (* not all amenities are provided with whole house rentals, call to inquire with a member of our Guest Services Team):

Payment / Reservation Questions

6. What is the Per Diem Rate?

The Per Diem rate varies by duty assignment location, and is usually comprised of a Lodging Rate, and a Meals & Incidentals Rate. It is a good idea to contact the appropriate finance office prior to travel to check rates. At Holloman the Lodging Per Diem rate is $60 per day and the M&IE Per Diem rate is $35 per day. The Holloman AFB Finance Office number is (575) 572 -3778.

7. What is your rate?

For crashpads, TDY Place charges the same amount as base lodging, the maximum reimbursable Lodging Per Diem rate, $60 per night. In the event that you are issued a Non-Availability letter, your maximum reimbursable rate may increase, allowing TDY Place to provide even more generous amenities.

For furnished homes, TDY Place charges a base rent of $75 per night. Whole homes may also allow up to one pet for an additional non-refundable fee of $10 per night. Don’t forget that combined HAFB Per Diem equals $95 per day. Additionally, TDY Place covers all utility costs and has invested a significant amount to equip all of its homes.

8. Do I have to pay out of pocket to stay at your house?

No – Military and DOD members pay nothing out of pocket. For crashpads, TDY Place charges the exact amount that you will be reimbursed on your Travel or Accrual Voucher for Lodging Per Diem. This amount will vary by location and if you are issued a Non-Availability letter for a portion of your stay. For furnished homes, you may be required to spend a portion of the M&IE Per Diem, but the rate will never exceed your total Per Diem.

9. Can I “make money” on the per diem lodging rate?

No – Unlike BAH, the lodging portion of your Per Diem is “use or lose” up to the maximum local rate. The Per Diem rate is reimbursed based on the nightly expense and the area where you are stationed. Even if you stay in a less expensive accommodation you cannot pocket the difference.

Meals and Incidental Expenses (M&IE) Per Diem, on the other hand, is paid at a flat rate regardless of what is spent, so money can be “made” on meals if you don’t use it all. By using our fully stocked kitchen you’ll be able to save money by cooking instead of dining out for every meal. 10. Can a crashpad “pay me” to live there?

Though some crashpads may offer a form of kickback payment to guests, be aware that these are a legal gray area. Be careful! Avoiding kickbacks of any sort keeps both TDY Place and our guests out of trouble. We thank our tenants for choosing TDY Place through our generous amenities and fantastic customer service. 11. Will I receive Per Diem & BAH?

Maybe – A traveler who is on a TDY assignment is on official short-term travel, and is generally expected to maintain housing quarters at their home station. When authorized per diem, it is expected that a service member will continue to receive BAH (Basic Allowance for Housing) at the home station rate. This may be different for younger service members without an established home station. To be sure, you should contact the appropriate military Finance Office.

12. How do I reserve a furnished room or home?

It’s easy! From any page on the TDY Place website, select “Reserve Now” or “Begin Reservation” in order to fill out the guest information survey. Our Guest Services team will give you a call during normal business hours to finalize the reservation and to personalize your future amenities. Reservations are always welcome in advance and are flexible. TDY Place knows that military training can be unpredictable. If you would like to see pictures of our houses first, you may select “Available Rentals” before completing the reservation form.

13. How do I pay?

Cash. Put it all in the mail. Don’t forget correct postage!

Just kidding! You can use any major credit or debt card, but most people use their Government Travel Credit Card (GTCC). TDY Place Guest Services will take payment information when your reservation is made. The card will then be charged at the first of each month for the previous month. For us to keep your payment information on file, law requires that each guest complete a Recurring Payment Authorization Form.

14. When is my credit card billed?

Monthly rent is due on the first of each month for the previous month and is pro-rated based on the number of nights stayed. You will receive at least a 24-hour notice and invoice prior to your card being charged. After the payment, you will promptly receive a daily-itemized receipt.

15. Is my information secure?

Yes – We do not ask you for a credit card number over our website. Be cautious of giving your information to any company if their web address doesn’t include the “S” after “HTTP.” If they ask for your card it should say “HTTPS.” We will only accept your credit card information over the phone when you decide to finalize a reservation. Payments are then processed securely using Intuit by Quick Books.

16. How does an accrual voucher work?

In order to file your accrual voucher, you must have been on station for at least 30 days, and you must present a receipt that itemizes your expenses daily. TDY Place will provide you this receipt promptly after the payments are drafted on the first of each month. Usually, the Finance office does not require that you bring in a copy of your Lease.

17. Are rentals available to non-government or non-military travelers?

Yes – Although service members are our primary customer base, we are also available to the general public for use as vacation rentals, corporate housing, insurance temporary housing, or temporary use while relocating for the purchase or sale of a home. 
Our rates are the same for non-government guests.

18. Do you have a minimum stay?

Yes – Currently, our minimum stay is 30 nights.

19. Do require a security deposit?

No – There is no security deposit required, but TDY Place maintains a personal credit card on file to pay for any reckless or negligent damages. Guests will use a secondary card for this purpose if they choose to make rent payments with the GTCC.

Amenities / Rules

20. Do you allow pets?

It depends – TDY Place is pet friendly in most of our Crashpads and Home rental accomodations. Additional fees or deposits may apply.

21. May I bring my spouse?

Yes – Your spouse may join you, but due to parking and bathroom conflicts we prefer you to limit the visit duration. We ask that you be considerate to the other people in the house. If your spouse will be there for an extended period of time, we may attempt to place you in a master bedroom for additional privacy.

22. May I bring my kids?

Kids are welcome when you reserve an entire home with TDY Place. Full home accommodations are intended for families and may not feature all of the same amenities as a crashpad style home. You may contact Guest Services during business hours for more details.

23. What’s included during my stay?

Your reservation covers everything, just like a hotel. All standard amenities are listed within each property description, and personalized ones will be discussed with Guest Services when you place your reservation. Our team may also contact you from time to time with opportunities that we have arranged through our community partners requiring a nominal out-of-pocket cost. These opportunities will be completely optional.

24. Do I have to sign a lease?

You will need to sign a lease that lists all the house rules as well as an authorization to charge your credit card in monthly installments. The lease will list your planned training dates, but you will be released immediately if you finish early.

25. What do I need to bring?

TDY Place provides everything except food and toiletries. We provide all the furniture, linens, detergent, utensils, cleaning supplies, utilities, etc. When our Guest Services member contacts you, they may even coordinate to order your favorite cereal, coffee and shampoo.

26. Is there anything nearby to do?

When you arrive to your home away from home, you will be presented with a Welcome and Orientation Guide that lists several area attractions and restaurants. Unlike any other crashpad in the area, TDY Place has established relationships with local establishments. Based on your preferences, your stay may include membership to the nearby Anytime Fitness or rounds of golf at Dessert Lakes Country Club.

27. Do you have any local employees or customer service?

Yes! A TDY Place representative will greet you when you arrive with an orientation packet, a local vendor will clean the house once per week (for Crashpads), and you will be provided a number to call in the event of a maintenance emergency. You may also call our main office with any requests during our normal business hours. In some cases we’ll mail you what you need, but more often than not we’ll have someone resolve your need that day.

28. Where is your business based?

TDY Place, LLC is a registered New Mexico corporation, but our main office and Guest Services call center is based in Sacramento, CA. Unlike other area crashpads, we have numerous local contacts to provide you the best possible customer service.

29. Who do I call in the event of an emergency?

Call 911 in a true emergency. For a maintenance emergency (example: toilet overflowing) contact the Alamogordo maintenance manager, Wolle (Pronounced Wally), at (575) 921-8016. For any other requests, dial our main office line at 800-707-6961. Your Welcome Guide will provide instructions on shutting off the main water line to the house, and that should be your first action in the event of a water problem.

30. How long have you been in business? What is the history of the business?

Two Air Force officers founded TDY Place in early 2015 with a mission to provide the best possible accommodations for their fellow service members. Alamogordo is the original location where four houses are in operation. TDY Place service and amenities will exceed any previous experience you have had with a crashpad. For this reason, we hesitate to even be called a crashpad.

31. Do you rent out a whole house or just a room?

We do both. TDY Place rents out individual rooms to singles and entire houses to families with children. Our home network is ever-expanding.

32. Why choose a TDY Place property over another crashpad?

Three reasons:

1. Culture: The simple and true reason why TDY Place exceeds the competition is that we desire to. We have made it a company culture to provide excellent service, amenities, and furnishings to our guests. The company sacrifices profit to ensure this goal is met. We are a creative team that is continually thinking of ways to do things better, with the means to make it happen.

2. Infrastructure and professionalism: TDY Place was founded by an Air Force officer, but is operated by real estate and customer service professionals. This is a stark contrast from the competition, and it is apparent in every aspect of our business practices, accommodations and guest interaction. Most crashpads are owner-operated, one-man businesses, limiting the service you will receive. Our dedicated team of professionals goes above and beyond to satisfy your every need.

3. Local area amenities: TDY Place is the only off base housing option to offer numerous local area amenities based on your preferences. Our network allows the ability to provide city golf club membership, city gym memberships, personal chefs, casino trips, etc. It is not special that we as well as every other crashpad provide large televisions and full bedroom furniture suites. This is expected, but TDY Place exceeds expectations.
